# Trucking TMS buyer's guide

Choose a trucking TMS by testing the load workflow your team actually runs. Start with the problem to solve, the data you already have, and the handoffs that create the most rework. A polished screen is useful, but a representative load with a missing document and a changed appointment reveals much more.

## 1. Define the outcome and baseline

Write down three operational outcomes such as reducing load-entry rework, shortening the POD-to-invoice handoff, or making exceptions visible earlier. Record today's process and a sample of actual times or error counts. Avoid assuming that a vendor's automation percentage will translate directly to your fleet.

## 2. List required workflows

Include intake, dispatch, tracking, exception ownership, documents, billing, and driver settlements. Name your approval rules and customer-specific exceptions. Separate must-have capabilities from attractive extras. Use the [RFP checklist](/resources/guides/tms-rfp-checklist/) to ask each vendor the same questions.

## 3. Run a scripted demo

Use one redacted load with a revised rate confirmation, an appointment change, a late POD, and an accessorial. Ask the vendor to show the source, correction path, approval trail, and downstream effect at every stage. Ask whether each step is available now, in a limited early-access release, or planned.

## 4. Verify the data path

Map each existing ELD or telematics, accounting, document, and payment system. Ask for exact connector names, data direction, frequency, failure handling, and implementation responsibility. [Integration planning](/resources/learn/tms-integration-planning/) explains the field map. Do not infer that a category on a website means a working named connector.

## 5. Compare total effort

Include setup, migration, training, ongoing review work, and contract cost. Decide who owns cutover and how the old system remains available during reconciliation. The [migration checklist](/resources/guides/tms-migration-checklist/) covers those steps. An assumption-based [ROI calculator](/resources/calculators/tms-roi/) can model labor time, but it cannot prove an outcome without your baseline and a tested workflow.

RunaboutX is a [trucking TMS](/tms/trucking/) available to fleets. Evaluate it against the same script and ask for a concrete demonstration of current capabilities. For AI-specific controls, see [AI TMS](/ai-tms/).
